Item Master File Profile

This section is the Item Master File Profile. This form contains the fields for creating an item record.

Overview: Item Master File Profile states information about the item. such as,

  • System Item Code – unique code produced by system for monitoring item; an eleven digit code base on department/supplier/color/category/counter
  • Item Code – existing code used; uses system item code when not available
  • Department – department in charge of the item
  • Supplier – item source or manufacturer (use “various” if sourced from different suppliers); see Supplier Master File List for list of available suppliers
  • Description – combination of item material, name, dimension, specifics, and finish
    • Item Material – composition of of item (e.g. metal, wood, plastic, acrylic, rubber, etc,.)
    • Item Name – general description
    • Item Other Specs – distinct specification (e.g no. of slots, type of slots, no. of stiffeners, etc.,)
    • Item Finish – final coatings/texture on top of base color (e.g. matte, gloss, rustic, satin, etc.,)
  • Color – item majority or body color
  • UOM – unit of measurement
  • Type – sub-grouping for ABC analysis or other purposes
  • Category – sub-grouping of items according to parts use (e.g. shelves, panels, accessories, foots, etc.,)
  • Status – active or inactive; active are items available for selection in other modules
  • Remarks – additional notes
  • Image – picture of item
  • Volume – item volume in cubic meters
  • Weigh – item weight in kilograms
  • Order Code – supplier item code for re-ordering

Additional Tabs:

  • JO History – shows item transaction as used from related job orders;
  • Inventory – shows item minimum inventory or justified reorder quantity

Maintaining Item Master File Profile:

Web system item master file record should be kept up to date with manual item records.

Important Notes:

Refrain from changing fields affecting system item code when updating item information.
