This section is the Client Master File Profile. This form contains the fields for creating a client record.
Overview: Client Master File Profile have two groups that states information about the client. such as,
Customer Information Tab
Chain Name - parent field to group related contacts
Contact Code – system generated code; combines contact name and company name
Contact Name – name of client who request for requirements
Company Name – name of client’s company or store
Contact Position – position of contact in the company
Office Address – address where can the contact can be met
Fax no. – number for sending quotation or offers
Mobile number – number
Email address – email for sending offers
Status – active or inactive; active are items available for selection in other modules
Remarks – additional notes
Billing Information Tab
Business Name – name of registered business for billing
TIN no. – tax identification number of the business
Contact Person – contact person for collection
Position – position of contact in the company
Billing Address – address of billing and collection
Fax no. – number for sending statements
Mobile number – number of contact person for follow-up regarding outstanding balance
Email address – email for sending statements
Remarks – additional notes
Invoice Tab
This tab shows created invoices under the client account
Payment Terms
DP Requirement – assigned PI percentage as down payment needs to be collected to proceed with delivery
DP Remarks - notes on down payment
Default Payment Terms - assigned payment terms for the client
Hold Order - yes or no option, yes option prevent deliveries and new PI related to the client
Maintaining Client Master File Profile:
Web system client master file record should be kept up to date with accounting's client records and with client's current information.
System verifies users about updating billing information every time they change PI status to “For SI”, this help ensure that billing information is correct and up to date before processing formal billing requirement
Important Notes:
Billing information is required for invoicing. Information should be accurate before giving accounting department an instruction to make sale invoice.
